    IDEA attend METSTRADE 2021

    Still on a high from Monaco Yacht Show , we were recently excited to participate at another in-person event in Amsterdam; the Marine Equipment Trade Show (known as METSTRADE).

    It was an uncertain start as the Netherlands experienced record breaking covid cases, but we were reassured by the high levels of professionalism and safety measures put in place by its organisers.

    What is Condition-Based Maintenance (CBM) and why is it on the rise?

    Condition-Based Maintenance (CBM) is a strategy that considers information about the condition of equipment to recommend appropriate maintenance actions. The goal of CBM is to prevent functional failures or a significant decrease in performance of the monitored equipment.

    One very hot topic in the yachting industry right now is condition-based maintenance (CBM). To put CBM into context, car owners can rely on being notified by its operating system when it needs an oil change or replacement brakes. This system benefits drivers by improving safety, cost efficiency, is more convienient and sustainable.

    IDEA is listening

    Building solid and valuable software is only possible when it’s based on the feedback from the people who use it. Therefore, IDEA YACHT does not only get small fixes and security updates, but also gets improved and extended with new features based on user feedback.

    We’re happy to announce that with the next update you can expect:

    – Multiple responsible values for a task, you can now tag a task for engineering and deck for example.
    – Work together on a log day, engineering chat for log day comments.
    – Hour counter lists for quick updates.
    – A completely redesigned dashboard (check the details below).

    Inventory of Hazardous Materials (IHM) update

    Tracking IHM relevant information doesn’t have to be complicated. With that in mind the IDEA team implemented two new functions to make IHM management even easier:

    – You can now directly ‘tag’ components and spare parts as being IHM relevant.
    – Receive an IHM report, relevant components or spares including related linked documentation like SDoC’s and MD’s.

    Sneak preview – The new IDEA YACHT Dashboard is coming

    The all-new IDEA YACHT Dashboard will be:

    – Fully customisable via drag-and-drop.
    – Allows multiple dashboards per user.
    – Offers the possibility to share dashboards in your role.
    – Gives you the option to create your own menu with the ‘Favourites’ widget.
    – Enables fast logging of Hours of Rest via the related widget.

    New look website

    We have been improving our website, to make it easier to navigate and provide more useful content. IDEA academy videos are now saved within Webinars.

    COVID-19 vaccination status functionality – IDEA reacts to our customer feedback to provide a solution

    The IDEA support team recently received an interesting question from one of our long-term customers, who works as a Captain of a vessel.

    Due to the current Covid-19 situation, super-yacht crews are facing additional administrational burdens and most port authorities across the world now request information regarding the vaccination status of the people on board. Our customer asked if there is a way to simplify this new process and have it included in a report.

    This is a perfect example of a problem for which the solution is already available within IDEA YACHT software, although we hadn’t thought about applying the functionality in this context.

    This is where the strength of our customer relationships really benefits us. In receiving these types of questions, it challenges the IDEA team to come up with a solution for the problem presented.

    So what was the solution in this case? Basically, there are two options available within IDEA YACHT:

    1. In the Crew Certificates section of the Crew & Guest Database, simply create a new category such as ‘Covid-19 Vaccination’, this is then set to be mandatory for all roles on board. All person-specific information can now be added, even the certificate itself can be attached. Using the filtering function makes it easy to get an overview of the status and it is also possible to create a report based on this information, which can then be handed over to the related authorities.

    2. The Crew & Guest Database offers the possibility to add Medical Details. This also includes a ‘Vaccinations’ section, where ‘Covid-19 Vaccination’ can be added, including the date of the vaccination and related expiry date.

    A report can also be created using the ‘Vaccination Report’ function in the ‘Reports’ section of IDEA YACHT.

    Our support team summarised this information and sent it to the captain, who was very happy with the solution and detailed instructions of how to set this functionality up in their IDEA YACHT system on board.

    This story proves how incredibly important customer feedback is for a software company, to be able to provide its customers with the right solutions. This example has also proven that we are on the right track, developing solutions based on customer feedback.

    Why are annual fees so important for IDEA Yacht software?

    As you have seen in our latest release newsletter, a lot of functionality has recently been added to our software to offer an improved experience to our valued customers.

    To ensure we comply with all regulations and upcoming market changes, a price increase of the yearly license subscription and support plan fee is required, which will come into effect in 2022.

    As well as the additional benefits and support we are offering, the license subscription enables us to improve the software suite and develop additional functions and features, based on your feedback and requests.

    Attending our first post COVID-19 event; The Palma Superyacht Show 2021

    We felt so grateful to be back at an actual, in-person event this month. Our Executive Director, Tobias Allebrodt, attended the 2021 edition of the Palma Superyacht Show, which took place between 3rd -6th June.

    It is the first show that IDEA Data Solutions has exhibited at or attended for a whole seventeen months. As much as we have adapted to and embraced communicating via Teams and Zoom video calls; nothing quite compares to seeing people face-to-face, viewing superyachts up close and networking over ice cold drinks in the beaming sunshine!

    How to manage Inventory of Hazardous Materials (IHM) with your IDEA YACHT software

    The EU SRR & IMO HKC requirements regarding Inventory of Hazardous Materials (IHM) is a challenging subject to deal with, but the good news is that IDEA YACHT already supports you with handling IHM!

    Using existing functionalities, IHM can be managed as follows:

    • Tagged items can now be selected for reporting and other functionalities.
    • When it comes to the handling of the required documentation, the easiest way is to simply attach all required documents e.g. SDOCs from suppliers, specific laboratory results, to the related item.
    • More general documentation e.g. the IHM maintenance manual, can be handled with the existing Document Manager. This also applies to survey reports and certificates. which can be handled using the ‘Certificates’ feature within the ISM module.
    • Finally, the ‘tags’ can also be applied to new items, which are obtained via the purchasing system.
    The key step is to ensure the correct tagging of the related items, required functions such as reporting and document handling already exist.

    New feature patch release for IDEA YACHT 2021 

    The main purpose of this release is to align functions in IDEA YACHT, for customers who have an active subscription.

    The patch will be rolled out to all our online none-replicating pages next week, on board installations need a manual upgrade via the DownloadCenter tool – downloads are available now.

    Main changes

    Database analytics – Let IDEA YACHT check your database in real-time, provide you with an overview about potential issues and suggest possible solutions such as:

    • “Hourly”/”Hour” tasks without an hour-counter
    • Empty entries
    • Tasks without trigger
    • Critical without serial/manufacturer
    • Critical without tasks
    • Responsible crew
    • Empty structural elements
    • Show purchase approval states directly in the overview page, quickly identify what needs attention.
    • Includes the AMCS communication into the maintenance calculation – external system can now trigger tasks by providing running hours to IDEA YACHT.

    Hello from the team at IDEA Data Solutions!

    We hope that you are keeping safe and well during these challenging times. Our team at IDEA HQ are certainly enjoying the lighter days and warmer weather, what a difference it makes!

    This month we’d like to share details of improvements to our IDEA YACHT Leave and Rest module, how entering hours via our new app is even easier and how you can streamline processes and reduce your carbon footprint by adding a digital signature.


     

    Leave and Rest module – now easier to use while remaining fully compliant

    We are constantly striving to improve our products based on the availability of new technologies, changes in rules and regulations and of course from your feedback.

    Our two main goals were to simplify the use while being fully compliant with IMO STCW regulations. This has been achieved through a number of major improvements to the existing module.

    For example, the standard working hours within the crew members contract are now IMO compliant by default. In addition to this, a personal link for each crew member can be generated to enter his or her hours without needing to be logged into IDEA YACHT.

    This can be done using any device, via a simple and easy-to-use calendar view. Each entry is directly checked for non-conformities and requires a clarification by the seafarer if needed. This will ensure that IMO compliance is preserved while simplifying the monitoring and approval process for the master.

    IDEA YACHT does all the work, from calculating hours to generating an IMO formatted report for each crew member, reducing workload for the master and making any third-party solution obsolete.

    New IDEA YACHT app – entering hours gets even easier!

    The upcoming release of our new IDEA YACHT app, means that entering hours will be even easier. Simply link the app (lite version, no license required) to the crew member’s account. Watch the video above to find out more!

    Pro tip: Streamlining processes, helping the environment

    You can further streamline your work with IDEA YACHT, by uploading your personal signature.

    This can be done for each individual crew member within the ‘Documents’ section in the Crew & Guest Database.

    By uploading a digital signature to IDEA YACHT, each document that requires a signature will be automatically signed by the system – including the IMO Hours of work and rest report.

    This reduces the need to print documents, saving you time, money and doing your bit for the planet!
