IDEA Data Solutions Sets Sail with ‘Yachting Life’ Arcade Game.

We know how stressful life can get onboard a superyacht, or that it can be difficult to pass the time when onshore between charters and seasons. So, allow us to introduce the IDEA Arcade!

We pride ourselves on our in-house development of our yacht management solutions, ensuring that our team are close to, and understanding of, the yachting industry, and the pain points of crew, shipyards, and owners alike. Our expert and amazingly talented development team have decided to let their creative juices flow by creating an arcade game – ‘Yachting Life’ – to grow their skillset, and hopefully entertain you and provide you seem brief respite from everyday life.

The aim of the game is to collect as many IDEA NFC Tags as possible, as the superyacht you control picks up pace. Sounds easy? Well, just like onboard a real superyacht, it’s not all plain sailing… You’ll need to dodge the rocks and obstacles in the way whilst trying to think about your next move to grab those priceless* NFC Tags to get the high score!

Challenge your friends, fellow crew and colleagues to try and beat your high score, and let us know how you get on by screenshotting your score and tagging us in your social media posts @ideayacht.

We’ll be exhibiting a physical version of our IDEA Arcade in the Superyacht Pavilion at METSTRADE 2023, so if you think you have what it takes to beat the IDEA team’s top score, then visit stand 11.717 and take to the joystick!

Ask The Dirk: Item links

Did you know that you can generate item duplicates, or item links how we call them, in the vessel database?

Often you have the situation where you use the same spare item for different components.

For instance, you may have many fuel filters of the same type that are stored in different boxes and sometimes different areas. With the item links function you can reflect this properly in IDEA YACHT.

You will find the item link button in the item details page:

You can generate as many duplicates as you need and you can recognise a duplicated item by the link symbol in front of its name in the tree of the vessel database:

The duplicate will also not allow you to modify any details but you can jump to the original item for this directly from the item link details:

By using the cut & paste function you can now distribute your item links to the corresponding locations in the vessel database and to the different components though it remains the same item with the same quantity and storage.

IDEA Direct Order

We are excited to introduce a new functionality called Direct Order within the Stock Control and Purchasing module, as part of our 2023.3 release. With Direct Order, vessels can now request order quotes directly from vendors, streamlining the procurement process. Here are the key details you need to know about this feature:

Access for Subscription License Holders: Vessels with any of the subscription licenses (SP10, SP11, SP12, SP13, SP14) can now access Direct Order.

Special Vendor Licenses: Please note that while vendors/shipyards can be accessed through Direct Order, some may require additional special licenses to enable ordering from them.

How Direct Order Works:

Quote Request Creation: IDEA YACHT will initiate the process by creating a Quote Request from the Purchase Order by the push of a button. This request will be sent automatically to the vendor, and the vendor will be responsible for pricing the items in the purchase order and proposing an offer.

Acceptance of Vendor Offer: Once the spare part supplier or shipyard, has proposed an offer, the user can review and accept it. The new pricing information will then be automatically saved into the vessel’s purchase order.
Order Tracking: Following acceptance, the vendor will proceed with shipping the order. Crew members can conveniently track the order’s status using the provided shipping code.
Communication: Throughout these steps, the crew and vendor users can easily communicate using the ‘comments’ tab within the Quote Request, facilitating efficient collaboration.

Direct Order brings enhanced convenience and efficiency to your procurement process, allowing for seamless communication and quicker order processing between vessels and vendors.

2023.3 Key changes

Update 2023.3 IDEA YACHT sees big improvements to our IDEA YACHT App, including more functionality for using NFC Tags, a brand-new module for Standard Operating Procedures, and a raft of improvements and bug fixes. Our web-based platform sees some big developments to our Forms module, a new auto-updater for our software, a new Muster List module, and full support for more Spectro | Jet-Care fluid sample types, amongst a host of other additions and improvements to IDEA YACHT.

IDEA YACHT WEB

*NEW FEATURE* Update Pilot – Automated IDEA updates:

IDEA now introduces the Update Pilot feature, which automates the update process. Users will receive prompts to schedule and run updates in the background.
This results in quicker updates and fixes delivered directly to your onboard server, although currently limited to non-replicating vessels.
To utilize this feature, an active support plan is required.

Forms support for Tables:

The update includes comprehensive support for creating and managing forms with built-in editors.
A new Table control allows the creation of tables with various elements like dropdowns and text boxes.
Users can implement approval flows and segment forms into multiple sections, each signable by different crew members.
Forms are now fully accessible on iPads, phones, and web browsers.
Optionally, you can connect forms to existing documents (e.g., Word files) for a seamless transition to IDEA.

*NEW MODULE* Muster List:

A new module for creating Muster lists has been introduced, allowing users to configure their own muster lists with stations and duty assignments.

New budget approval matrix:

IDEA now supports multiple levels for budget approval, enabling complex configurations.
For example, you can set rules such as purchases up to 1k require no approval, while those between 1k and 5k need department head approval, and purchases above 5k require captain approval.
Budget codes/accounting codes can also be optionally linked to purchase orders, improving financial tracking.

*NEW MODULE* Standard Operating Procedures (APP & WEB):

A new module has been introduced within the app, allowing users to access and view Standard Operating Procedures (SOPs) directly from their mobile devices.
SOPs can be designed and configured in the web interface, providing flexibility and accessibility.

Crew and guest forms/reports updated to reflect current IMO FAL Forms:

Forms and reports related to crew and guest information have been updated to align with the latest International Maritime Organization (IMO) FAL Forms standards.

Full support for all Spectro | Jet-Care sample types:

IDEA YACHT Web now provides comprehensive support for various Spectro | Jet-Care sample types, including oil samples, hydraulic samples, fire mist water samples, fuel samples, and fuel verification samples.

Updated Forms controls – using tables in your forms (APP & WEB):

This update introduces enhanced Forms controls, enabling the use of tables within your forms.
In IDEA YACHT Web, this means you can now create and customize tables within your forms, providing better organization and data structuring.

*NEW PRODUCT* IDEA Direct Order

A brand-new funtionality in IDEA YACHT purchasing pages to allow vessels to request order quotes directly from vendors.
Seemlessly order spares, parts and inventory from within IDEA YACHT and see comments from your vendors.
IDEA YACHT will create a quote request from the purchase order and wait for vendor to price the purchase order items and propose an offer.

IDEA YACHT APP

NFC support for forms:

With NFC support, you can swiftly access your frequently used forms by scanning an NFC token.
This feature streamlines the process of accessing and filling out forms, making it convenient for users on the go.

New round control:

The new round control brings significant performance improvements, ensuring smooth operation even when dealing with rounds consisting of 500+ points.
Users can now pick the next entry point from a list, eliminating the need to navigate through each point individually. This enhances efficiency and usability.

Improvements and fixes based on your feedback:

Thanks to valuable client feedback, a total of 47 issues have been addressed and resolved in the app.
It’s worth noting that sending error reports plays a significant role in identifying and rectifying issues, so your feedback is greatly appreciated and beneficial in enhancing the app’s performance and reliability.

Ask The Dirk: IDEA Reminders

Did you know that you can display your reminders on your dashboard as well as in your personal reminders page?

First of all, you need to know that your administrator can select which information is generally available for your position. This is done in the reminders permission page:

From here it’s defined which reminders you can select for your personal view. All you need to do now is to choose which of these reminders are in fact important for you. This can been done in your account detail’s ‘MY Reminders’ page:

When you open your reminders page in the home section of the left navigation panel, only these chosen reminders are displayed:

You can also add reminders to your dashboard. Open your dashboard in edit mode and move the reminders widget into the preferred location of your screen:

Once you have put the widget in place, press the edit button in the widget to set the reminders you want to have displayed here:

Once saved and when you leave the edit mode of your dashboard, you have the most important reminders displayed immediately after login.
